Location Data
We access precise and approximate location data during trip tracking in Personal Vehicle Travel mode. This data is used in real time to calculate distance traveled and estimate reimbursements. Location data is not stored permanently unless required by the organization’s policy.

- To auto-scan receipts and categorize expenses using AI

- To calculate trip distance for mileage-based reimbursements when users opt in to Personal Vehicle Travel mode

Lawful Basis
For EU, UK, Brazil, and similar jurisdictions, we process personal data under one or more legal bases: consent, contractual obligations, legal obligations, and legitimate business interests such as improving product usability.
4. Data Sharing and Disclosure
We do not sell your personal data. We may share data only under the following conditions:
- With your employer or organization if using Org Mode
- With service providers such as cloud storage, OCR, and email delivery under strict confidentiality agreements

We may use AI and automation to extract data from uploaded receipts, detect policy violations, suggest categories, and improve reporting. All AI usage is secure and limited to expense management purposes only.

Travilo integrates with third-party platforms such as Google Maps, OpenAI, and payment processors. These services have their own privacy policies. We recommend reviewing them before use.

For website usage, we use cookies and similar technologies to improve website performance, analyze traffic, and remember user preferences. You can control cookie behavior via your browser settings.
